Choose the concern and the stage of your Google review report. This free tool creates a practical preparation worksheet. It does not estimate a success rate or confirm that a review will be removed.

Build your Google review case worksheet

The tool uses two selections; it asks for no review text, contact information or account details. Worksheet generation and downloading happen in your browser. This page also loads the site’s Google Ads base tag; the tool does not send its selections to that tag or submit an enquiry.

Evidence checklist by concern

These are preparation suggestions. Keep source documents and record the limits of what you checked. The content policies and the platform’s case assessment determine the reporting outcome.

Static checklist: every concern available in the tool
ConcernFacts to organizeLimit to keep in mind
Suspected fake engagement
  • Exact review URL and original wording, with the date you observed it.
  • What you checked in your records, the date range and the limits of that search.
  • Relevant repeated text, timing or first-hand evidence of coordination, if available.
An unfamiliar display name or a missing purchase record does not, by itself, prove a fake review.
A documented conflict of interest
  • The specific relationship you can establish and why it concerns this review.
  • Relevant dates and a short, factual explanation.
  • Shareable evidence of that relationship, with unnecessary personal details omitted.
State documented facts. Do not publicly identify someone as a competitor or employee on a guess.
Wrong business or unrelated content
  • The exact passage that describes another location, business or unrelated subject.
  • The correct public business details for your listing.
  • A concise comparison showing the mismatch without inventing a customer history.
A different opinion about your service is not the same as a review of the wrong business.
Private information in the review
  • The exact passage containing the information of concern.
  • Explain what is private and how it relates to an identifiable person.
  • Keep the original securely; use a redacted working copy where possible.
A publicly advertised professional name is not automatically prohibited. Check the applicable policy exception.
Threats or targeted harassment
  • The exact threatening or harassing passage and the review URL.
  • The date observed and relevant context you can document.
  • Preserve messages associated with the incident separately.
A critical description of service is different from a specific threat. A review report is not emergency assistance.
A demand for payment or favours
  • The demand, with visible sender details, date and time.
  • All directly related review URLs, with the date each appeared.
  • A short chronology connecting the communications to the reviews.
Use Google’s dedicated merchant extortion route for a direct demand linked to review removal. Do not pay the person making the demand.
Negative feedback without a specific policy concern
  • Keep a record of the review and any service issue you can address.
  • Prepare a calm response without private customer information.
  • If new facts establish a policy concern, record those facts before considering a report.
A low rating or disagreement alone is not a removal case. This worksheet does not turn genuine criticism into a policy violation.

Keep reporting stages separate

Static workflow: all four reporting stages
StageSuggested preparation
Not reported yetPrepare one clear report against the relevant Google policy. Keep a dated copy of what you submit.
Report submitted; decision pendingCheck the existing report status in the Reviews Management Tool. Keep the submission date and avoid treating an unresolved report as a refusal.
Reviewed; no policy violation foundReview the stated decision against your evidence. If an appeal is offered, prepare the one-time appeal with the specific issue and relevant documentation.
Appeal already submittedKeep the appeal confirmation and follow the decision emails. Record the actual final outcome rather than starting the same one-time appeal again.

A direct payment demand connected to negative reviews uses Google’s extortion process. A complaint about a low rating without a policy concern needs a different response; choosing that option in the tool does not generate a removal recommendation.

What belongs in a useful case record?

Keep the business listing, Canadian location, exact review, report date, stated decision and any appeal reference together. Record public visibility separately from the platform’s decision. When several reviews are involved, create a separate record for each so outcomes and fees can be checked individually.

The downloaded text file provides blank fields for those details. Fill it in using your own secure records. Do not put account passwords, payment details or unnecessary personal information into a reporting worksheet or initial quote request.

Use the right guide for your next step

How this tool works

Seven concerns and four reporting stages produce 28 selectable combinations. Those are preparation paths, not 28 observed cases or measured outcomes. Payment-demand cases use a separate next step, and negative feedback without a policy concern uses a customer-response next step. Other selections combine the chosen evidence checklist with the current reporting stage.

The worksheet logic is downloadable. It stores no selections in cookies or local storage. The static tables preserve the full checklist for readers and search engines when JavaScript is unavailable.
